Reference letter vs experience letter vs relieving letter

The short answer. An experience letter confirms where you worked, for how long and in what role. A relieving letter confirms that you have left and that nothing is pending between you and the employer. A reference letter is one person's own account of what you were like to work with. The first two come from the company, usually HR. The third comes from an individual. Most private employers in India never ask for it in writing.

The three, side by side

Relieving letterExperience letterReference letter
Who gives itYour employer, usually HRYour employer, usually HRA person: a manager, a professor, a client
What it saysYou were relieved of your duties on a date, after serving noticeYour tenure and designation, sometimes a line on conductTheir view of your work, with examples
When you get itOn or after your last working dayOn or after your last working dayWhen you ask someone for it
Who asks for itYour next employer, at joining and during background verificationYour next employer, visa offices, universitiesSome employers, universities abroad, some visa and government applications

Many companies issue the first two as one document, often titled “Relieving and experience letter”. That is fine. What matters is that it states your dates, your designation and that you have been relieved.

Relieving letter

This is the one a new employer cares about most on your first day. It shows that your last employer accepted your resignation and let you go, which also tells them you are not employed in two places at once.

It is addressed to you, is dated on or after your last working day and usually says you served your notice and handed over your work.

Experience letter

Sometimes called a service certificate. It confirms that you worked there, from which date to which date and in what role. Some include a sentence about your conduct or your responsibilities.

It is a statement of fact from the company. It is not a recommendation. A good one does not read like praise.

Reference letter

Also called a recommendation letter. One person writes it, in their own name, about what you were like to work with. It is opinion backed by examples, which is what makes it different from the other two.

Most private-sector hiring in India does not ask for a written reference letter. Recruiters are more likely to ask for the names of two or three people and call them after you are shortlisted. Written letters matter most for universities abroad, some government roles and some visa applications. Those usually specify a format. Follow it exactly.

If your employer will not give you a letter

It happens, most often after a difficult exit or when a small company has no HR process. The short version is below. Our guide on what to do when a company will not give a relieving letter has every step and the messages to send.

  1. Ask in writing. Email HR and your manager, state your last working day and ask for the relieving and experience letters. Keep the email trail.
  2. Tell your new employer early. Hiring teams deal with this often. It is far better heard from you than found during verification.
  3. Offer other proof of employment. Your appointment letter, payslips, Form 16, bank statements showing salary credits and your EPFO service history all show where you worked and when. Many employers will accept a combination of these.

This is general guidance and not legal advice. If an employer is withholding documents to pressure you, speak to a lawyer.

A request you can send to HR

Subject: Request for relieving and experience letters

Hi,

My last working day was 30 September 2026. I have completed my notice period and handed over my work to Sneha.

Could you please share my relieving letter and experience letter? My new employer has asked for them by 15 October.

My employee ID is 20418. Please tell me if anything is pending from my side.

Thank you, Aarav Mehta

A request for a reference letter

Hi Ma’am, I am applying for a master’s programme that asks for a recommendation letter from a manager. You supervised my work on the pricing project for two years, so I would be grateful if you could write one. The university’s format and the deadline, 20 November, are attached. I can send my resume and a short note on the projects we did together to make it easier.

Where GoodWord fits and where it does not

A GoodWord report is closest to a reference letter. It holds what people you worked with say about you, in their own words. Our guide on how to ask for a reference covers the asking.

It is not an experience letter or a relieving letter. It does not confirm your employment dates and it is not a background check. Our guide on reference checks and background verification explains how the two differ. You still need those documents from your employer. Nothing here replaces them.

Your good work deserves a GoodWord.
